Product Operations Associate – Front Office Technologies
We are seeking a detail-oriented and resourceful Product Operations Associate to support our front office technology ecosystem. This role will help ensure recruiters and sales teams have the systems, support, documentation, and AI-enabled workflows they need to work efficiently from prospect to placement. The ideal candidate is customer-service minded, comfortable troubleshooting independently, and able to manage multiple projects, requests, and priorities at the same time.
Key Responsibilities
- Product Strategy & Execution
- Partner with the Product Operations Manager and stakeholders to support the roadmap, configuration, adoption, and continuous improvement of Bullhorn and other front office technologies, including ATS, CRM, automation, messaging, search/match, and AI-enabled tools.
- Translate producer feedback and business needs into clear requirements, enhancement requests, training materials, process documentation, and support resources tied to front office staffing workflows.
- Assist with vendor evaluation by gathering requirements, comparing capabilities, documenting tradeoffs, and supporting implementation recommendations for new and existing front office technology partners.
- Operational Excellence
- Identify and implement process improvements across technology platforms to enhance operational efficiency and reduce manual work.
- Monitor system performance and user adoption, recommending enhancements based on data and feedback.
- Provide timely, customer-focused support to producers in the field by triaging system questions, troubleshooting issues, documenting recurring themes, and escalating when appropriate.
- Manage multiple projects, support requests, launches, and priorities simultaneously while maintaining clear communication, organized follow-through, and strong attention to detail.
- Cross-Functional Collaboration
- Serve as a liaison between product operations, IT, training, sales, recruiting, and field teams to ensure front office technology changes are clearly understood and successfully adopted.
- Partner on change management initiatives, including release communications, training guides, quick reference materials, office hours, and producer-facing enablement resources.
- Technology Enablement
- Support implementation, optimization, and day-to-day enablement of Bullhorn and integrated front office tools that support sales, recruiting, candidate engagement, client relationship management, and placement workflows.
- Assist with technology training by preparing user-friendly materials, supporting live or recorded enablement sessions, answering producer questions, and reinforcing best practices for front office tools.
- Help maintain consistent usage standards, data quality expectations, and workflow guidance so field teams can use front office systems accurately and effectively.
- Develop, test, and maintain AI tools, prompt libraries, and prompt engineering best practices that help producers draft outreach, summarize records, improve search strategies, and increase productivity while following company standards.
- Data & Reporting
- Partner with analytics and product operations teams to monitor adoption, usage trends, support themes, and performance metrics for Bullhorn and related front office technologies.
- Use data, producer feedback, and recurring support patterns to recommend workflow improvements, documentation updates, automation opportunities, and AI prompt enhancements.
Qualifications
- Required Experience
- 2+ years in product operations, business systems support, technology enablement, recruiting operations, sales operations, or a related role within staffing, recruiting, or professional services.
- Strong understanding of front office staffing workflows, including sales, recruiting, candidate engagement, client relationship management, job intake, submittals, and placement processes.
- Hands-on experience with Bullhorn or similar ATS/CRM platforms; familiarity with automation, messaging, AI tools, search and match, or reporting tools is preferred.

- Strong customer support mindset with the ability to assist producers in the field, ask thoughtful questions, troubleshoot independently, and follow issues through to resolution.
- Excellent organization and prioritization skills, with the ability to manage multiple projects, requests, deadlines, and stakeholder needs at the same time.
- Curious, self-directed, and comfortable learning new systems, testing workflows, building AI prompts, documenting processes, and driving clarity in fast-moving environments.
- Education
- Bachelor’s degree in Business, Information Systems, or related field (or equivalent experience).
