About the RoleWe are looking for a highly organised, analytical and execution-oriented person to work closely with the Founder as part of the Founder’s Office.

This is not a conventional Executive Assistant role.

The person will act as an extension of the Founder — helping track priorities, follow up with teams, structure information, solve operational problems, prepare analyses and ensure that important decisions and tasks actually move from discussion to execution.

The role will sit at the intersection of business operations, execution, MIS, project tracking and executive support.

You should be comfortable moving between a founder discussion, an Excel sheet, a team follow-up, a business analysis and an operational problem — often on the same day.

What You Will Own

1. Founder’s Priorities & Execution Tracking

  • Maintain a clear view of the Founder’s key priorities, commitments and pending actions.
  • Convert discussions and decisions into clearly defined tasks, owners and deadlines.
  • Track progress across functions and ensure commitments are followed through.
  • Proactively follow up with team members rather than waiting for updates.
  • Identify delayed, blocked or at-risk tasks and escalate them to the Founder with context.
  • Maintain weekly and monthly execution trackers.
  • Prepare concise updates for the Founder on:
  • What is completed
  • What is pending
  • What is delayed
  • What requires intervention
  • What needs a decisionThe expectation is not merely to maintain a tracker, but to make sure the work gets done.

2. Executive / Founder SupportAct as an extension of the Founder in day-to-day execution.

This may include:

  • Managing and organising the Founder’s action items.
  • Preparing meeting agendas and capturing decisions.
  • Maintaining a follow-up list after meetings.
  • Coordinating with internal teams and external stakeholders.
  • Preparing briefing notes, summaries and background information before important meetings.
  • Following up on commitments made by the Founder or to the Founder.
  • Helping prioritise competing requirements.
  • Ensuring important information reaches the Founder in a clear and usable format.
  • Handling selected correspondence, coordination and scheduling requirements. The role will require judgement and ownership, not just administrative support.

  • Highlighting trends, gaps and exceptions.
  • Preparing concise management reports. The objective is to help the Founder see what is happening in the business without having to chase information from multiple people.

4. Cross-Functional Project ManagementTake ownership of selected business projects from start to completion.

For example:

  • Implementing a new process or system
  • Setting up a new dashboard
  • Improving an existing workflow
  • Opening / setting up a new store
  • Hiring for a critical position
  • Vendor / partner coordination
  • Process documentation
  • Cost optimisation initiatives
  • New business initiativesFor every project, you will be expected to define:

Objective → Action Items → Owner → Deadline → Status → Blocker → Next Step

You will coordinate with the relevant people and ensure that projects keep moving.

Examples:

  • Why are sales declining in a particular store/channel?
  • Which categories are performing or underperforming?
  • Where are operational bottlenecks?
  • What is causing a recurring process issue?
  • Which vendor / option is commercially better?
  • What is the impact of a proposed business decision?
  • Where can costs or time be saved?
  • What information should be tracked going forward? You should be comfortable taking an ambiguous question and turning it into:

This could involve:

  • Mapping existing processes
  • Identifying gaps and bottlenecks
  • Creating SOPs and checklists
